Reservations
When booking your holiday direct with Asyanut Tours and Travel, please quote
the tour number of your own specialized itinerary, intended date for arrival
and departure, number of people traveling in your party, accommodation preferences
and flight details, if known. This will ensure that our arrangements are
to your satisfaction and concise. Gorilla trekking generally requires a
minimum of 3 month advance booking for permits. Children under 12 years
are not allowed to track chimpanzees and children under 15 years are not
allowed to trek the gorillas.
Payment
A 50% deposit is required 17 weeks before the intended departure or time
of the booking with the balance to be settled 30days prior to commencement
of the tour. Asyanut tours and travel will receipt your payment, thereby
confirm your safari. If a reservation is made within 30 days of departure,
the entire amount must be paid at the time of confirmation.
Cancellation
Full refund will be made if cancellation is made in writing within 60 days
of the booking and prior to the commencement of the safari. Refund on all
prepaid money will be based on cancellation fees levied by the hotel, lodges
and the banks. Generally there is a 50% charge on cancellations within 10-30
days, 75% charge within 3-20 days, and 100% charge within 48 hours. We reserve
the right to deduct all the expenses incurred from any money paid. Gorilla
permits are non refundable.
Alteration of Tour
The right is reserved to alter any route or arrangement, to cancel the operation
of any scheduled tour should the conditions necessitate if that happens
you shall be notified as early as may be practical. The right is also reserved
to decline, accept or retain any member of the tour at any time. Should
you fail to join a tour, join it after departure of leave prior to completion;
no tour fare refund can be made.
Transfer of Booking
In the event you’re unable to travel due to extraordinary circumstances,
we may transfer your booking to another party provided the arrangements
remain the same and if suppliers (airlines, hotels, lodges etc) are all
ready to accept the transfer. Gorilla permits are transferable in some instances.
Mode of payment
All prices are quoted in US dollars. You may pay by cash or traveler’s
cheque to Asyanut Tours and travel Ltd. Foreign currency cheques, TC’s
and payment by credit card may be accepted subject to bank charges at the
prevailing rate, based on local currency can be accepted at the current
dollar buying rate. Cheque and TC’s may incur manager’s discretion
service charge. Payment may be done in advance by Bank transfer, Western
Union, money gram if the agency is sent on E-mail we can advice on the best
method to use.
Transport
Mode for transport utilized will be dependent on the number of clients and
the route taken based on the specification of the chosen itinerary. Fully
trained and experienced English speaking driver/guides are provided.
Accommodation
Based on twin bedded rooms or tents with private bathrooms where possible.
Single rooms may be available with the payment of a supplement fee but can
not always be guaranteed. Some facilities have available double beds upon
request.
Tour Price
The price quotes are inclusive of all transportation as per the itinerary,
park entrance fees, permits where applicable, drivers allowance and third
party insurance. The rate are not inclusive of accommodation while in Kampala,
traveler Insurance (which should be purchased individually), local airport
departure tax, visa fees, tips, sodas and alcoholic beverages, telephone
calls, laundry and other personal expenses.
Travelers Insurance
You are advised to buy travel insurance through you Agent before coming
to Uganda, but local evacuation coverage is available in the unlikely event
of a medical emergency during the tour. Please request this at the time
of booking.
Liability
All bookings are accepted on the specific condition that Asyanut Tours and
Travel Limited and its agents act only as agents of passengers in all matters
relating to hotel/lodge accommodations, tours, transport, etc. We shall
not be liable for injury, delay, loss or damage in any manner whatsoever.
Asyanut Tours and Travel reserves the right to employee subcontractors to
carry out all or part of the services agreed to be supplied. Asyanut Tours
and Travel’s liability to passengers carried in its own vehicles is
governed by respective laws of the country. All claims are subject to the
jurisdiction of the courts of the country in which the cause of action arises.
Finally, whilst every care is taken, Asyanut Tours and Travel are not held
responsible for loss or damage to baggage.
Complaints/Refund
If the clients has a complaint/refund query about any aspect of his/her
holiday it should be reported immediately to Asyanut Tours and Travel’s
local representative in the country who will do them best to resolve the
matter do during the safari. If the problem is not resolved to the client’s
satisfaction any further complaint/refund query should be made by client
in writing to Asyanut Tours and Travel not later than 30 days following
completion of the holiday. Failure to do this may mean for future of claim
against Asyanut Tours and Travel. There will be no refund on unutilized
services.
Viewing Animals
Caution is advised when viewing the animals, please be advised that there
are no guarantees. It is a privilege to see animals in their natural habitat,
but keep a safe distance while taking the photographs. A gorilla permit
guarantees you will trek gorillas after payment to their location but does
not guarantee that the gorillas will be in plain sight.
